Kramp, a leading supplier in the agricultural industry in Europe, has always been deeply dedicated to delivering excellent services to their customers. It all started as a one-man business in 1951 in the town of Varsseveld in The Netherlands.
Today, Kramp is a market leader covering 24 countries with their headquarters still in Varsseveld.
Kramp wants to make a direct contribution to the efficiency and profitability of their customers and their operations alike. By being a strategic partner for their customers, Kramp enables their clients to be innovative, sustainable and successful.
As in any large enterprise, managing long-tail spend can be very challenging without the proper solutions. Creating one-off suppliers in ERP systems and the entire process of checking, booking, and matching invoices was very time- and effort-consuming for Procurement, Finance, and usiness stakeholders at Kramp.
Kramp had tested a virtual card solution to selected employees, but it had not provided the time savings and automation they were hoping for. Both users and Finance ended up with more manual work than intended. Kramp identified that they needed a user-friendly solution that was easily scalable to a much wider group of employees across the entire organisation in different entities.
Kramp identified the most pressing need to optimise purchasing processes in their entities in The Netherlands, including the headquarters. So, this is where the roll-out started. It was important for Kramp to introduce a solution that automated otherwise manual tasks that would help both users and Finance. It should also provide Procurement with all the data they need for deeper spend analysis.
At the end of 2022, we were looking for a new tool to track our tail-spend. Our tool at the time was not optimal and led to extra manual work and, of course, frustration from internal users. From the start of the talks with Mazepay, we noticed that the tool had a lot of potential to tackle our issues. We started with the Netherlands as a pilot country; great results were achieved therefore, we decided to make a joint roll-out plan for our other locations.
Mazepay has also been very flexible and helpful since the beginning, from the whole set-up phases to the pilot and finally to the roll-out to our entities around Europe. You never feel left out! Feedback is taken seriously, and it is good to see that both Kramp and Mazepay share the same mindset of continuous improvement.

After a successful roll-out in The Netherlands, Kramp continued rolling out Mazepay to all their European entities in different markets. This ensured Kramp had control of the process and that user feedback could be implemented in smaller and faster iterations.
In our partnership with Kramp, we monitor user adoption and share feedback all the time. This gives us the best prerequisites for advising Kramp on best practices in roll-out, account configuration, user adoption and change management. This helped us to establish the right spend types, and categories together and integrate Kramp's purchasing policy into their processes on Mazepay.

The introduction of Mazepay provided Kramp with the scalable solution they needed to introduce the virtual card purchasing process to employees across all their legal entities. The customised configuration on Mazepay ensures that every employee with access to Mazepay automatically and easily follows the company's purchasing policies.
Mazepay helps me to make payments of small amounts in a very easy way. You create a
virtual credit card in the portal in just a few steps, the (mandatory) fields are displayed very
clearly and you go through it very easily, so you quickly have the necessary credit card details
to do the payment.
After you have done the payment, you can immediately add the invoice or confirmation in the
portal to your card and then you don't have to worry about it anymore. Even for our
administration (Finance), the handling is simple. If you run into a problem, the Mazepay Help
Centre is very helpful. So in short, Mazepay saves us time and I’m really happy that we
implemented Mazepay!

For Finance, financial data and receipts are collected automatically for purchases made on Mazepay and entity-specific posting is done in a fraction of the time as before. There is no need for Finance to ask employees for receipts and the bottlenecks in month's end closings are removed. The time saved from this and from avoiding manual supplier creations can instead be used to focus on the bigger tasks of Finance.
From the Procurement side, we also get a much clearer picture of where we are spending our money with this type of purchases - something that used to be a challenge. All in all, our organisation is very happy with Mazepay, and we look forward to keep fostering this partnership.
