The Forest Stewardship Council® (FSC®) – a nonprofit organisation that covers more than 160 million hectares of certified forests – provides the world’s most credible sustainable forestry solution, trusted by NGOs, consumers, and businesses to help promote healthy and resilient forests, for all, forever. The FSC logo – found on millions of products worldwide – is the most recognised mark for responsible forestry.

As the organisation is growing consistently, so does the need to streamline processes and operate in an increasingly agile manner. One area that provides such opportunity is their long-tail purchasing process.

The Challenge

Driving efficiency and optimisation

With one person generating the AirPlus Virtual Cards Procurement for different requesters, FSC was able to cover their initial purchasing needs quite well. With a successful start of the virtual card project benefitting procurement and accounting processes, the number of requests grew and it became obvious that bringing in Mazepay with a strong approval workflow can help to further enhance control, compliance and feasibility of credit card payments. Potential bottlenecks and manual communication should be avoided to keep a smooth and efficient process.

FSC has been a valued AirPlus customer for many years, and we’ve built a strong and trusting relationship. Since 2021, FSC has been using our Virtual Cards Procurement solution, and it’s been impressive to see how they’ve continuously expanded its capabilities. When FSC wanted to implement an approval process for the virtual cards, we were happy to support this request and help streamline their internal workflows even further. With growing orders and an expanding user base for the cards, it was only a natural next step for FSC to adopt the AirPlus Mazepay solution. This expansion allowed them to further optimise their processes and create even more value on their side. The Solution

Scaling up procurement with compliance in mind

Understanding the scale of their need, FSC selected the AirPlus Virtual Cards Procurement solution to streamline their procurement process for two of their legal entities. Only a few months after roll-out, every long-tail purchase is authorised and accounted for, before any transaction or payment takes place. Employees take responsibility for their purchases, streamlining document collection and easing the burden on the Accounting team.

The Results

Enhancing transparency and efficiency with virtual cards

With Mazepay's approval flows, multiple approval levels secure each purchase request. The comment threads tied to each request provide a dedicated efficient communication channel for all involved. It has never been easier and more transparent for managers and the Accounting team to follow up on specific purchases. All transactions and related information are visible in a centralised platform for both legal entities, helping to maintain high compliance standards.

Previously slowed down by manual reconciliation and purchase classification, Accounting now benefits from AirPlus and Mazepay's automated features, which have highly reduced the time required for posting and reconciliation.
